Operations Manager
Rockford, IL
Assist the Lead Pastor, and ministry and volunteer leaders by providing support, obtaining needed materials, and keeping them informed of updates and upcoming events or meetings. Oversee business and facility operations, including compliance with liability, employment law, and supervisory guidelines, supervision of the Facilities Manager, leading the recruiting and hiring process, obtaining quotes for vendor services, overseeing Information Technology (IT) needs, and preparing budgets. Manage the office by assisting church members, visitors and callers with various needs. Complete before and after Sunday service preparation and follow-up. Coordinate church events by managing facility usage, recruiting event volunteers, promoting, purchasing supplies, and supervising the events. Coordinate Meal Train needs.

Essential Functions/Responsibilities
Assistant to the Ministry Leaders
- Ensure the Pastors are aware of member updates, such as births, deaths, or illnesses. Inform Lead Pastor and record names of decisions for Christ and baptisms.
- Assist with monitoring the Lead Pastor’s calendar, alert ministry leaders to upcoming events and meetings, and schedule appointments, as requested.
- Send email communication or make phone calls for the Lead Pastor to Shepherd-Elders, members, community leaders, other church leaders, etc., as requested.
- Assist the Shepherd/Elders with various requests, including office support, scheduling of meetings, etc.
- Assist with preparations for Sunday (sermon notes, electronic sign, sign-up sheets, Welcome Center, café set-up, etc.). Upload edited weekly sermon to YouTube.
- Identify and interact with vendors to explain needs and obtain best pricing. Place orders for ministry leaders and staff, as needed, adhering to the requirements of the budget. Allocate to the corresponding budget lines.
- Assist church leaders with various office support needs, such as form preparation, performing and recording background check screens, mandatory reporting completion certificates, etc.
- Advise the staff regarding engaging volunteers, suggesting ways to motivate, organize and best utilize volunteers’ spiritual gifts, knowledge, skills and abilities. Suggest methods to effectively deal with problem situations, including the utilization of the Matthew 18 relational conflict resolution process.
- Meet with Lead Pastor on a weekly basis or as needed to give an update on projects, discuss upcoming events, suggest staff meeting agenda items, and receive new assignments. Highlight accomplishments, major occurrences and issues, making recommendations for changes or improvement.
Business & Facility Operations
- Ensure compliance with operation guidelines established by the Management Team. Act as the church contact for the insurance carrier by monitoring and guiding risk management practices for the ministries. Coach ministry leaders in standard practices.
- Ensure compliance with employment law guidelines and policies, according to the Employee and Supervisor Handbooks practices established by the Human Resources (HR) Team. Follow up on certain action items from the HR Team meetings or HR Team Lead requests.
- Work with the Human Resources Team Lead by assisting with the employee relation processes of resolving issues presented by both employees and managers. Address issues appropriately, including formal corrective action when necessary. Inform Shepherd-Elders about issues of special concern.
- Lead the recruiting and hiring process for Crosspoint Church employees, in partnership with the HR Team and Shepherd-Elders, guiding supervisors in decisions made.
- Supervise and guide the responsibilities of the Facilities Manager, assisting with decisions, priorities, timely completion of tasks, management of projects, interactions with vendors, contractors, etc. Assist with identifying and coordinating volunteers to decorate church sanctuary and building.
- Obtain quotes for business or facility operations jobs outsourced to outside contractors, or assign the task as appropriate. Check references of contractors. Choose a contractor who gives the best value, considering both cost and quality. Ensure that jobs are completed timely and are done with the least interference to ministry and business activities.
- Oversee the information technology (IT) needs for the office, ensuring efficient equipment, service, and support through qualified volunteers or vendors. Ensure secure data transmission by the use of virus and spam software, as well as appropriate practices expected of the staff and volunteer leaders.
- Prepare budgets for business and facility operations and present to the Treasurer for approval. Maintain established guidelines, identify variances, and recommend corrective action.
Supervision
- Conduct individual and combined meetings with direct report(s) to keep each other informed and evaluate results of recent activities to identify best practices and make suggestions for enhanced effectiveness.
- Conduct regular feedback sessions and annual performance reviews for direct reports to establish measurable goals and evaluate results. Guide staff toward performance reflecting excellence, following through with corrective action when necessary, which could include termination of employment.
Office Management
- Greet Crosspoint Church visitors and vendors with warmth, congeniality, and professionalism. Answer and screen telephone calls and emails in a timely, professional, and discerning manner, ensuring that the caller’s request is satisfied by providing information or transferring to the appropriate staff member. Respond with prayer when appropriate.
- Sort and distribute incoming postal mail and prepare outgoing mail.
- Assist in recruiting and orienting office volunteers. Train and oversee office support staff and volunteers on procedures, office machines, and computer applications. Assign logins and profiles as required.
- Maintain electronic machines such as copiers, printers, laminators, electronic sign, appliances, security cameras, etc., ensuring they are in good operating condition. Contact appropriate vendor with issues.
- Purchase office supplies, Welcome Center supplies (including welcome bags, church brochures, and other information), replenishing regular stock kept in inventory. Order sympathy arrangements as needed. Purchases may be made from the approved vendor, online, or at a retail store.
- Manage and oversee Crosspoint Church calendar by obtaining information from ministry leaders, updating, and providing information to the Lead Pastor and others needing to know.
- Perform website maintenance and updates, including uploading the weekly sermon and updating calendar of events, ensuring the information is correct. Contact vendor when necessary.
- Maintain Facebook site by researching ideas, gathering information, and posting items, as well as monitoring correspondence.
- Communicate with Crosspoint congregation with updates, prayer needs, and church news through the weekly Crosspoint Connection using Constant Contact. Gather information, make appropriate edits, and publish.
- Assign weekend volunteers to staff the Welcome Center and oversee their performance.
- Record updated attendee information into church management software, including membership covenants, contact information, and ministry involvement. Maintain the Crosspoint Directory. Pass along response cards, requests for information, and prayer cards to the appropriate individual for response.
- Complete post-service activities (collect forms from the Welcome Center, and process new attendee forms and prayer requests).
- Attend and take notes at staff and Management Team meetings, and give an update on business and facility administration, as requested. Follow up and pass along action items, as needed. Disseminate notes to appropriate individuals and save for future reference.
Events Coordination
- Assist ministry leaders with church events and programming by making announcement slides and placing information in the Crosspoint Connection and on the website.
- Manage facility usage by responding to questions about usage guidelines and fees, and sending forms for event details.
- Assist with organizing staff and church events by working with other staff members or volunteers to advertise and monitor promotions, process sign-ups, purchase supplies, and manage the events. This may include identifying a volunteer leader to coordinate and run the events.
- Recruit volunteers to serve at events or provide meals to those with a need through Meal Train sign-ups.

- Warm and caring attitude, strong interpersonal skills, and high integrity
- Ability and willingness to respond to the needs of others, including leadership, staff, church members, and visitors
- Demonstrated good judgement, organizational and detail-oriented skills, and ability to develop processes and procedures to produce quality results and meet established deadlines

- Proficient verbal and written communication skills
- Proficient knowledge of computer software programs and office applications, including a working knowledge of Microsoft Word, and Excel. Knowledge of database management/communications, website maintenance, Google Drive, graphic design software a plus.
- Demonstrated ability to maintain accurate records and concise files
- Two–five years management and/or administrative experience
- Affirmation without reservations of Crosspoint’s Statement of Faith found in the By-laws
- Willingness to complete a criminal background check
